Our principle of confidentiality of information is that our translation agency is obliged to ensure the preservation of documents obtained or compiled by us during translation process. We are not allowed totransmit these documents or copies or verbally disclose the information to a third party.
Please read this LTA Privacy Notice ("Notice") carefully to understand our policies and practices regarding your personal data and how we will use it. This notice applies to individuals who use LTA's services as consumers ("you"). This statement explains how SIA "FILLS" ("Latvian Translation Agency", "we") obtains, uses and discloses your personal data. It also sets out how you can access and update your personal data and choose certain alternatives to the use of your personal data.

This notice covers both our online and offline data collection activities, including the personal data we collect through our various channels, such as websites, social networks, consumer engagement services and events. Please note that we may obtain personal data from various sources (website, offline event). Please see clause 8 for further information on how to object.

In cases where we process your personal data in order to comply with legal obligations, the provision of your personal data is mandatory and follows from the legal provisions that impose legal obligations on us. In other cases, providing your personal data is optional, however, if you do not provide us with the necessary personal data, we will not be able to contact you, provide you with our goods and/or services, perform pre-contractual activities at your request, or conclude a contract with you. We will tell you when it is necessary to provide personal data, for example by making this information clear on our registration forms.

This notice may be changed from time to time (see clause 10).

1. SOURCES OF PERSONAL DATA

This statement applies to the personal data we obtain from you or about you using the methods described below (see clause 2), from the following sources:

LTA website. Consumer-created websites used by or for LTA, including websites we use with our own domains/URLs and mini-pages we use on third-party social networks such as Facebook ("Websites").

Viewing ads. Viewing our advertising (for example, if you view one of our advertisements on a third-party website, we may receive information about that viewing).

Data created by us. During our interactions with you, we may create personal data about you (eg a record of your purchases on our websites).

Data from other sources. Third-party social networks (eg Facebook, Google), market research (if feedback is not provided anonymously), third-party data aggregations, LTA's service promotion partners and publicly available information sources.


2. PERSONAL DATA WE OBTAIN ABOUT YOU AND HOW WE OBTAIN IT

Depending on your interactions with LTA (online, offline, over the phone, etc.), we collect different information about you as described below.

Personal contact information. This includes any information you provide so that we can contact you, such as your first name, last name, email address, social media data or phone number.

Demographic information and interests. All information that describes your demographics and habits. For example, your date of birth, age or age range, gender, geographic location (eg postcode), favorite products, hobbies and interests, as well as household or lifestyle information.

Information from a computer/mobile device. All information about the computer system or other technological device you use to access our websites or applications, such as the Internet Protocol (IP) address used to connect your computer or device to the Internet, the type of operating system and the type and version of the Internet browser . If you access LTA's website or application using a mobile device such as a smartphone, the information collected will include, if permitted, your phone's unique device ID, advertising ID, geographic location and other similar mobile device data.

Information obtained from internet websites/communications. When you browse and use our websites or newsletters, we use automatic data mining technologies to obtain some information about your activities. This includes information about which links you click, which pages or content you view and for how long, as well as other similar information and statistics about the actions you take, such as response time to content, download errors and the length of time you visit individual pages. This information is obtained through automatic technologies such as cookies and web beacons, and is also obtained through third-party observations for analytical and advertising purposes. You have the right to object to the use of such technologies, see point 3 for more information.

Market research and consumer feedback. Any information you voluntarily provide to us by sharing your experience using our services.

Consumer-generated content. Any content you create and then share on third-party social networks or by uploading to one of our websites or applications, including through third-party network applications such as Facebook. For example, photographs, videos, personal stories or other similar media or content. Where permitted, we obtain and publish consumer-generated content in connection with a range of activities, including contests and other promotions of the Services, website community features, consumer engagement and third-party social networks.

Third Party Social Network Information. Any information you share publicly on a third-party social network or information that is part of your profile on a third-party social network (such as Facebook) that you allow the third-party social network to share with us. For example, your basic account information (eg, name, email address, gender, birthday, current city, profile picture, user ID, friend list, etc.) and any other additional information or activity that you allow the third-party social network to share . We receive your third-party social network information (or parts thereof) each time you use a social networking feature integrated on the LTA page (such as Facebook Connect) or each time you interact with us through a third-party social network . To learn more about LTA obtaining your information from a third party social network or to opt out of sharing such social network information, please visit the relevant third party social network's website.

Payment and financial information. Any information we need to fulfill your order or that you use to make a purchase, such as your debit or credit card information (cardholder name, card number, expiration date, etc.) or other payment methods (if available). In any case, We or our payment processing service provider(s) use payment and financial information in accordance with applicable laws, regulations and security standards such as PCI DSS.

Sensitive personal data. We do not attempt to obtain or otherwise process sensitive personal data in the normal course of our business. If for any reason it is necessary to process your sensitive personal data, we rely on your prior explicit consent for all data processing, which is voluntary. Where we process your sensitive personal data for other purposes, we rely on the following legal bases: (i) to detect and prevent crime (including fraud prevention) and (ii) to comply with applicable regulations (e.g. to comply with our diversity reporting).

3. COOKIES/SIMILAR TECHNOLOGIES, LOG FILES AND WEB BEACONS

Cookies/Similar Technologies. Please see our Cookie Notice to learn how you can manage your cookie settings and to learn more about the cookies we use and the purposes for which we use them.

Registration files. We collect information in the form of log files that record website activity and compile statistics about your browsing habits. These records are created automatically and help us troubleshoot, improve performance, and maintain the security of our websites. Web beacons.

Web beacons (also known as "web trackers") are small strings of code that create a graphic image on a website or email to send data back to us. Information collected through web beacons will include information such as your IP address, as well as information about how you have responded to an email campaign (eg, what time the email was opened, which links you clicked on in the email in the mail, etc.) We will use web beacons on our Internet pages or include them in the e-mails we send to you. We use information provided by web beacons for a variety of purposes, including but not limited to website traffic reporting, tracking individual visitors, advertising, email auditing and reporting, and personalization.

4. USE OF YOUR PERSONAL DATA

The following paragraphs describe the different purposes for which we collect and use your personal data and the different personal data about you that is collected for each purpose. Please note that not all of the following uses apply to every person.

Third-Party Social Networks: We use your personal data when you use third-party social network features, such as "Like" features, to provide you with advertisements and interact with you on third-party social networks. Learn more about how these features work, the profile data we collect about you, and how to opt out by reviewing the applicable privacy notices of third-party social networks.

Personalization (offline and online). With your consent (where necessary), we use your personal data to (i) analyze your preferences and habits, (ii) anticipate your needs based on your profile analysis, (iii) improve and personalize your experience on our websites and in applications; (iv) ensure that the content of our Internet pages/applications is optimized for you and your computer or device; (v) provide you with tailored advertisements and content; (vi) allow you to participate in interactive features when you choose to do so. Based on this type of information and with your consent (where applicable), we also show you specific, LTA content or advertisements that are tailored to your interests. The use of your personal data is voluntary, which means that you can disagree (where appropriate) or withdraw your consent, if given, or object to the processing of your personal data for this purpose. See clause 9 for details on opt-out.

Other general purposes (eg internal or market research, analysis, security). In accordance with applicable laws and regulations, we use your personal data for other general business purposes, such as maintaining your account, conducting internal or marketing research, and evaluating the effectiveness of advertising campaigns. We also use your personal data to manage and operate our notification, IT and security systems. Our reasons:

Legal reasons or merger/acquisition. If LTA or its assets are taken over or merged with another company, including in the event of bankruptcy, we will transfer your personal data to any successors in title to our rights and obligations. We will also disclose your personal data to third parties (i) if required by applicable law; (ii) if necessary in legal proceedings; (iii) in response to a request by a competent law enforcement agency; (iv) to protect our rights, privacy, safety or property, or (v) to enforce any agreement or terms of our website.

5. DISCLOSURE OF YOUR PERSONAL DATA

In addition to the LTA entities mentioned in point 5 (data controllers and contact section), we share your personal data with the following types of third party organizations:

Service providers. These are outsourcing companies that we use to carry out our commercial activities (providers of the following services): postal services, courier services, marketing (managing the promotion of goods and services, sending emails, managing advertising campaigns), market research, IT/IS support, including Internet website and database operation and development, payment processing, legal affairs, audit, accounting). The Service Providers and their selected personnel are permitted to access and use your personal data on our behalf only for the specific tasks they are asked to perform in accordance with our instructions, and they are required to respect the confidentiality and security of your personal data.

Third party companies that use personal data for their marketing purposes. Except in situations where you have given your consent, we do not license or sell your personal data to third-party companies for their marketing purposes. Their identity will be revealed when your consent is required.

Recipients – third parties who use personal data for legal purposes or due to a merger/acquisition. We will disclose your personal data to third parties for legal reasons (e.g. subjects to whom we are obliged to disclose your personal data, in particular to public administration or law enforcement authorities) or in the context of a takeover or merger (see point 4 for details).

6. STORAGE OF PERSONAL DATA

LTA takes all necessary steps to ensure that your personal data is only processed for a minimum period determined according to the criteria mentioned:

1. LTA will retain copies of your personal data in a format necessary for identification only for as long as:
- we keep in constant contact with you (for example, if you are included in our mailing list and have not opted out; until you withdraw your consent to the processing of your personal data for marketing purposes or until you object to the processing of data for this purpose)
- your personal data is necessary for the purposes set out in this notice and we have a valid legal basis;

as well as

2. The statute of limitations for all applicable claims/tax liabilities related to the specific purpose of data processing, plus one additional year calculated from the end of the year in which the applicable statute of limitations has expired. This one additional year is necessary in the event that claims are made shortly before the end of the applicable statute of limitations and serves to determine one date when the data will be deleted, destroyed or anonymized.

Additionally, if substantial legal claims arise, we may continue to process your personal data for such additional time as is necessary in connection with that claim.

During the periods referred to in subparagraph (b), we will limit the processing of your personal data by only storing it and/or maintaining the security of that data, except to the extent that it is necessary to obtain the data in connection with any claim or obligation under applicable regulatory enactments.

Once the periods referred to in subparagraphs (a) and (b), each to the extent applicable, have ended, we will either (i) permanently delete or destroy the relevant personal data or (ii) make the relevant personal data anonymous.

7. STORAGE AND/OR TRANSMISSION OF YOUR PERSONAL DATA

We take appropriate measures (described below) to maintain the confidentiality and security of your personal data. Please note that this protection does not apply to information you choose to share in a public space, such as on third-party social networks.

Persons who can access your personal data. Your personal data will be processed by our authorized employees on a need-to-know basis, depending on the specific purposes for which your personal data was obtained.

Actions taken in operational environments. We store your personal data in operational environments that take reasonable security measures to prevent unauthorized access. We adhere to reasonable standards for the protection of personal data. Transmission of information over the Internet is unfortunately not completely secure, and although we do our best to protect your personal data, we cannot guarantee the security of data transmitted through our Internet websites/applications.

8. ACCESS TO YOUR PERSONAL DATA AND OTHER RIGHTS

Access to personal data. You have the right to access, review and request a physical or electronic copy of the information held about you. You also have the right to request information about your personal data.

This right can be exercised by sending us an e-mail info@ltagentura.lv or writing to us at SIA "FILLS", Lastadijas str. 32, Rīga, LV-1050, Latvia (before providing any information, we reserve the right to verify your identity). If a request is made by someone else without proof that the request was made on your behalf, the request will be rejected. Please note that all identification information provided to us will be processed only and in accordance with applicable laws and regulations.

Additional rights (e.g. change, deletion of personal data). If it is stipulated in the regulatory acts, you can (i) request the deletion, portability of your personal data; (ii) restrict the use and disclosure of your personal data and (iii) withdraw consent to any data processing activities carried out by us (withdrawal of consent does not affect lawful processing based on consent prior to its withdrawal).

In accordance with applicable laws and regulations, you may also have the following additional rights regarding the use of relevant personal data:
- the right to object, based on your particular situation, to us or anyone on our behalf using your relevant personal data, and
- the right to object to us or someone on our behalf processing your relevant personal data for direct marketing purposes.

We may need to retain some of your personal data after you have requested its deletion in order to comply with our legal or contractual obligations. We may also be permitted by applicable law to retain some of your personal data for our business purposes.

We hope that we have managed to answer your questions about how we process your personal data, however, if you have any unresolved questions, you also have the right to complain to the supervisory authority: the Data State Inspectorate.

9. YOUR CHOICES REGARDING THE USE AND DISCLOSURE OF YOUR PERSONAL DATA

We strive to offer you choices about the personal data you provide to us. The following mechanisms allow you to control your personal data in the following ways:

Cookies/Similar Technologies. You manage your consent by (i) using our consent management solution or (ii) our browser to opt out of all or some cookies/similar technologies or to alert you when they are in use. Please see point 3.

Advertising, marketing and service promotion activities. You may consent to LTA using your personal data to advertise its goods or services through the clickable box(es) in the registration forms. If you decide that you no longer wish to receive such communications, you may opt out of receiving marketing communications at any time by following the instructions provided in such communications. To opt-out of receiving marketing communications sent via any medium, including third-party social networks, you may opt-out at any time by using the links available in our communications, by logging into websites/apps or third-party social networks, and by adjusting your user preferences in your account profile by clicking the relevant boxes. Please note that even if you opt out of receiving marketing communications, you may still receive administrative communications from us, such as confirmations of orders or other transactions, as well as other relevant non-marketing communications.

Personalization (offline and online): If required by law, if you want LTA to use your personal data to provide a personalized/targeted experience and content, you can indicate this in the relevant clickable box(es) on the registration form ). If you no longer wish to use such personalization, you can opt-out at any time by logging into the websites/apps.

Targeted advertising. We work with ad networks and other advertising providers ("Advertisers") who serve advertising on our behalf, and other unaffiliated companies on the Internet. Some of these advertisements are tailored to your interests based on information collected on LTA pages and on unrelated websites over time. You can learn more about this type of advertising, how to opt-out, interest-based advertising and what companies that participate in the Digital Advertising Alliance's ("DRA") self-regulatory program do by going to www.aboutads.info/choices . You can also stop the collection of precise location data from your mobile device using your device's location service settings.

10. CHANGES TO THIS NOTICE

If we change the way we process your personal data, we will update this notice. We reserve the right to make changes to our practices and this notice at any time. We will notify you of any changes to this policy by posting relevant information on our websites/apps or by sending you an updated policy document.
